Who is responsible for your data

Mage Camp Trading Limited operates Mage Camp and is the controller of the personal data described in this policy. You can contact us at [email protected] or through our contact page.

Data we collect

Depending on how you use Mage Camp, we may collect:

• Account details such as your name, email address and sign-in provider.
• Event and ticket details such as orders, attendee information, ticket type, check-in status and ticket QR identifiers.
• Profile information you choose to provide, including your company, role, accessibility needs and professional links.
• App activity such as saved talks, networking connections, sponsor interactions and notification preferences.
• Technical and security information such as device platform, app version, IP address, browser information, session identifiers and diagnostic logs.
• Messages and enquiries you send to us.

How we use your data

We use personal data to:

• Create and secure your account.
• Process orders, issue tickets and operate event check-in.
• Provide schedules, reminders, networking and other app features.
• Respond to support requests and important event communications.
• Prevent abuse, investigate security issues and enforce event policies.
• Improve the website, app and event through aggregated analysis.
• Meet legal, tax and accounting obligations.

We rely on performance of our contract with you, our legitimate interests in operating and securing Mage Camp, compliance with legal obligations, and consent where the law requires it. You can withdraw consent at any time, although this does not affect processing that already took place lawfully.

Camera, QR codes and notifications

The mobile app asks for camera access only when you use QR scanning features. The camera view is used to read a QR code. Mage Camp does not save camera photos or video. The code value is sent securely to our service to validate a ticket or complete a networking action.

The current mobile app schedules saved-talk reminders locally on your device and does not send us a device push token for those reminders. If we enable remote event notifications in a future app version, we will store a device push token only after you grant notification permission. You can disable notifications in your device settings.

When we share data

We share data only where needed to operate Mage Camp, including with providers that support hosting, authentication, payments, email, app notifications and security. These providers may process data only for the services they provide to us. Apple and Google process sign-in information under their own privacy terms.

We share attendee contact details with another attendee or sponsor only when the relevant networking or lead-sharing action includes your consent. We may also disclose data when required by law, to protect people or systems, or as part of a business reorganisation. We do not sell personal data.

Storage and retention

We keep account and event data only for as long as needed for the purposes above. Retention periods depend on the type of record and any legal requirement. For example, transaction and accounting records may be retained after account deletion where the law requires this. When data is no longer required, we delete it or remove identifying details.

Some providers may process data outside the United Kingdom. Where required, we use recognised safeguards for international transfers, such as adequacy regulations or approved contractual protections.

Your choices and rights

You may have rights to access, correct, export or erase your data, restrict or object to processing, and complain to the UK Information Commissioner's Office. You can update profile information and access data controls after signing in at Privacy and your data.

In the mobile app, open the Info tab and select Delete account to permanently delete your Mage Camp account. You can also request help through our contact page. We may need to verify your identity before completing a request.

Security

We use technical and organisational safeguards designed to protect personal data. No online service can guarantee absolute security, so please use a strong, unique password and tell us promptly if you believe your account is at risk.

Children

Mage Camp is a professional event and is not directed to children. If you believe a child has provided personal data to us, please contact us so we can investigate and remove it where appropriate.

Changes to this policy

We may update this policy as our services or legal obligations change. We will publish the revised policy here and change the effective date. If a change is significant, we will provide an additional notice where appropriate.
